Vehicle File Setup - Keypad
Encode Key
Allows you to encode a key from vehicle file data. This option is available under the Edit/
View Vehicle Record and is activated by using the Manager Mode switch.
If encoding a key other than a vehicle key, remember that each key (supervisor, manager,
report, dipstick, or delivery) must have a corresponding vehicle record. As with all vehicle
records, each special key record must have a unique key number and vehicle/department
combination, but you can just press ENTER through the remaining vehicle file fields.
Note: Do not activate the Manager mode switch (SW1) while in the vehicle file. This will lock
the record and inhibit further access.

Activate the Manager Mode by turning switch SW1 to open. The COMMAND: SETUP
prompt displays. Press ENTER.

Press either arrow key until VEHICLE FILE appears. Press ENTER.

At VEH REC MAINTENANCE, press ENTER.

At SEARCH BY, indicate how you want the vehicle file to be sorted. Use the arrow keys to
display one of two available options: SEARCH BY KEY # or SEARCH BY VEH/DEPT # (or
VEH/ACCT) and press ENTER. The EDIT/VIEW VEHICLE prompt appears. Press ENTER.

If you selected KEY #, the KEY # prompt and first key record in the file appears. Type a
number at the keypad or use the arrow keys to scroll through the key numbers until you reach
the one you wish to encode and press ENTER.
If you selected VEH/DEPT # (or VEH/ACCT #), the VEHICLE # prompt and the first vehicle
record in the file appears. Use the arrow keys to scroll through the vehicle numbers. When you
reach the correct vehicle number, press ENTER. The DEPARTMENT or ACCOUNT prompt
appears. Use the arrow keys to scroll through the department/account records. When you reach
the one you wish to encode, press ENTER.

Use the arrow keys to display the vehicle record fields. If you wish to change a field, press
ENTER at the field name, type a new value and press ENTER again. Then resume using the
arrow keys to view the rest of the fields. The last option will be ENCODE KEY.

To encode the key using the data in that vehicle record, press ENTER. The system responds
SELECT KEY TYPE: VEHICLE. Use the arrow keys to select an alternate key type. Choices
are vehicle, supervisor, manager, report, dipstick, or delivery. Press ENTER when the proper
key type is displayed. The system responds INSERT KEY TO ENCODE.

Insert the key in the receptacle and turn. The key is encoded and the system displays
FINISHED, REMOVE KEY TURN KEY LEFT, REMOVE.

Ensure that you take the system out of manager mode by returning switch SW1 to the closed
position.
