Cover Sheet Templates
Cover sheet templates are kept at the fax server as Rich Text Format (RTF)
documents. Any software that can create an RTF file or any file that can be
converted to an RTF file can be used as a cover sheet. There is no limitation as
to how many cover sheets you may have on your fax server.
Static information in the RTF file, such as a logo or street address, is combined
with variable information to generate cover sheets for all faxes in which a cover
sheet is specified. The location of variable information is identified in the RTF
file through the use of placeholders. A placeholder is replaced with the current
value of the placeholder; for example:

Cover Sheet Templates for Email Users
There are 3 ways to identify a cover sheet template to be used for an email user:

The default cover sheet template for the user Supervisor will make all users
use that specified cover sheet.
•
For Email clients, the default cover sheet template for the gateway user
(POP3Post or SMTPPost) will make all email gateway users use that cover
sheet template.
•
Create a cover sheet template for each individual user which will allow only
that user to use that cover sheet template.
Note that each step, Supervisor to individual user, supersedes the previous. In
other words, if you have set a cover sheet template for the Supervisor, this cover
sheet template is the default for all users. If the Gateway user has also specified
a cover sheet template, that cover sheet template will be the default for all
users using that Gateway. Finally, if individual users have a cover sheet template
specified, that cover sheet will be used for their faxes.
2.6.5.2
Selecting Cover Sheet Templates
Selecting a cover sheet template must be done from the Administration utility.
You can create an RTF cover sheet template somewhere else, browse to it and
specify that cover sheet using the Administration program. A copy of that RTF
file will then be placed on the fax server in a sub-directory for the user selected.
This is true whether the user selected is the Supervisor, the Gateway user or an
individual user.
From Administration, select the User Administration view, then select the user
Supervisor, the Gateway user or the individual user. Double click the user to
modify, or right click and click on modify user. Click on the Cover Sheet Tab and
the following screen will be displayed:
