● For Email clients, the default cover sheet template for the gateway user (POP3Post or SMTPPost)
will make all email gateway users use that cover sheet template.
● Create a cover sheet template for each individual user which will allow only that user to use that
cover sheet template.
Note that each step, Supervisor to individual user, supersedes the previous. In other words, if you have
set a cover sheet template for the Supervisor, this cover sheet template is the default for all users. If
the Gateway user has also specified a cover sheet template, that cover sheet template will be the
default for all users using that Gateway. Finally, if individual users have a cover sheet template specified,
that cover sheet will be used for their faxes.
2.6.5.2 Selecting Cover Sheet Templates
Selecting a cover sheet template must be done from the Administration utility. You can create an RTF
cover sheet template somewhere else, browse to it and specify that cover sheet using the
Administration program. A copy of that RTF file will then be placed on the fax server in a subdirectory for
the user selected. This is true whether the user selected is the Supervisor, the Gateway user or an
individual user.
From Administration, select the User Administration view, then select the user Supervisor, the Gateway
user or the individual user. Double click the user to modify, or right click and click on modify user. Click
on the Cover Sheet Tab and the following screen will be displayed:
2.6.5.3 Cover Sheet Selection
The templates available to this user are displayed. To add a new RTF file to this list, click Add and then
browse to the file. Once added to the list, it can be made the default for this user by selecting the file
and clicking the button Make Default.
This process can be repeated for the Gateway user or individual users.
2.6.5.4 When Cover Sheets Will Be Used
When creating a document to be faxed from an email message, the presence of body text is what
causes a cover sheet to be generated for that document. Whatever text is placed in the body of the
email message will be placed on the cover sheet identified by the $(Cover) placeholder.
