the presence of one or more dates and monetary amounts. The document
classification can be used, for example, to automatically route the document to the
correct location within a workflow system.
Document Separation
As an extension of classification, multi-page documents can be separated
automatically by using free-form technology to detect the beginning and end of each
separate document in a stream of scanned images. This can drastically reduce labor
at the scanning stage by removing the need to manually separate documents, for
example through the insertion of barcode header sheets.
Auto-Indexing
Many scanning systems have a process of manual “indexing” prior to feeding the
images into a document management or workflow system. This might, for example,
involve manually keying a customer reference number for each incoming document.
Free-form technology automates this process by extracting index fields directly from
documents or by reference to a business database (smart-indexing).
Data Extraction
Free-form technology also allows full data capture from a much wider variety of
documents than can be addressed with traditional template-based capture. These
include incoming invoices, where the variety is such that creating templates is
impractical; correspondence, where there is no standard structure; and legal
documents where the terminology is fairly standard but the layout variable.
