What Users Can Do During an Outage
When the Exchange server goes down, your users can log in to their Gmail
accounts using the same login names for Gmail as they use for Exchange. The
Exchange administrator provides a Gmail password to each user (this password
may need to be changed when a user first logs in to Gmail). Once logged in, the
user has access to recent emails, both sent and received. The date range for the
historical email available on Gmail depends on the configuration settings selected
by the administrator, and the quantity of historical emails already migrated from
Gmail to Exchange.
Once logged in, a user can continue to use Gmail as he would use Exchange. All
changes that he makes on his Gmail account will be automatically synchronized
with the Exchange server once the Exchange outage is over.
When you first set up Google Message Continuity, we recommend that you send
an email to your organization’s users to notify them that their Outlook messages
are also available through Google Apps Gmail. You should also provide
instructions for setting up their Gmail accounts. Users can set up Gmail with a few
quick steps, and this will enable them to continue accessing their email without
delay in the event of an unplanned outage.
When the Exchange server comes back up, your users can switch back to using
Exchange. Google Message Continuity automatically synchronizes all changes
that a user makes to the Gmail account with the Exchange account. This process
will take about five minutes.
